This is a list of the Administrative Information System Services at MTSU:
"Academic Inventory System The Academic Inventory System is a collection of
COBOL and FOCUS programs and screens that allows the MTSU College of Education
on-line access to Academic Inventory information. The system provides such
information as National Teachers Exam (NTE) and Praxis Series Skills Test (PSST)
test scores, endorsements, and dates of certification and admittance. It also
produces annual Academic Inventory and Graduate reports to the Tennessee Board
of Regents (TBR). Alumni/Development System (ADS) The Alumni/Development System
supports the major functions of the alumni and development (foundation) offices.
Functionality provided by ADS includes: building and cultivating constituents;
initiating and monitoring campaigns; posting pledges, payments, and gifts; and
processing fiscal year-end. Approving authority: Director of Development and
Director of Alumni. Bookstore Athletic Scholarship Billing System (BAS) The
Bookstore Athletic Scholarship Billing System (BAS) allows online maintenance
and reporting capability for bookstore items purchased with athletic
scholarships. This system is written in FOCUS and VAX DCL. Approving authority:
Information Technology Division.
Bookstore Departmental Charge System
(BSC) The Bookstore Departmental Charge System allows data entry for receipting
departmental charges at the bookstore, whether it is creating, voiding or
printing duplicate charge tickets. The receipts are nightly fed to the Financial
Records System (FRS) by batch transactions. Bookstore Inventory System (BIN) The
Bookstore Inventory System allows on-line maintenance and reporting capability
for MTSU's Phillips Bookstore Inventory System database. The system is written
in FOCUS and VAX DCL. The system allows users to perform multiple tasks such as:
data entry, data correction, error listing, reporting, and clearing out previous
years' inventory. To access the system, a user must be approved to enter data by
Earl Harris , Director of Phillips Bookstore. Budget System The Budget System
consists of screen and batch programs which interface with SCT's Financial
Records System (FRS). The system was created by the Tennessee Board of Regents
(TBR) to provide uniformity in budget reporting across the state. Cash Receipts
System The Cash Receipts system is a standalone system which provides the
Business Office with screen and batch programs to receipt student and employee
business transactions. It allows for daily balancing and nightly FRS and SIS
updates via batch transactions. Cost Study System The Cost Study system consists
of screens and batch programs which interface with SCT's Human Resources System
(HRS) and Student Information System (SIS). The system was created by the
Tennessee Board of Regents (TBR) and has been enhanced locally to provide
uniformity in the cost study analysis across the state.
Enrollment
Certification System (ECS) The Enrollment Certification System (ECS), written in
FOCUS and VAX DCL, allows the Records Office to have on-line and batch
capabilities for verifying student enrollment. Approving authority: Information
Technology Division. Equipment Inventory System The Equipment Inventory System
allows online maintenance and reporting capability for the equipment inventory
database. This system is written in FOCUS and VAX DCL. Approving authority:
Information Technology Division. Facilities System The Facilities System allows
online maintenance and reporting capability for the Facility/PFI databases.
These systems were written in FOCUS and VAX DCL. It also has the functionality
to allow Campus Planning to update building, room and related information on
their PC's and FTP the information to the VAX for processing. Approving
authority: Information Technology Division. Financial Records System (FRS) The
Financial Records System supports the needs of administrators and business
officers in accordance with recommended guidelines for higher education business
practices. Functionality provided by FRS includes: creating vouchers from
invoices; producing and reconciling checks; storing payment data; reporting 1099
tax; keeping financial records; controlling budgets and encumbrances; managing
cash, grants, and contracts; reporting information for the institution; and
processing fiscal year-end. Approving authority: Controller. Housing System The
Housing system is a collection of COBOL and FOCUS programs, and SIS screens that
enable the MTSU Housing Office to track and maintain information on students
applying for and residing in campus housing facilities. The housing database
stores such information as student's permanent home address, dorm/room
preferences, current dorm/room assignments, smoking preferences, gender, and
board plan. Dorm and room assignments are rolled to the term screens on SIS as
the housing is finalized.
Human Resource System (HRS) The Human Resource
System provides a wide range of human resource data tracking for the entire
University. HRS enables the human resources, payroll, and budget offices to:
maintain current and accurate data on employees'; insurance, direct deposit, pay
rates, retirement plans, savings bonds, benefits, education, experience, skills,
taxes, deductions, leave accrual, and position control. Approving authority:
Director of Human Resource Services. Key Inventory System The Key Inventory
System allows online maintenance and reporting capability for the key inventory
database. This system is written in FOCUS and VAX DCL. The MTSU Key Shop
provides updated key data to Information Technology Division (ITD) operations
personnel for entry into the Key Inventory System. Some departmental ad hoc key
inventory reports can be produced from this system. The ADHOC option of the Key
Inventory System is made available to department users who wish to print Key
Inventory data in an ad hoc mode so that the reports may be either viewed from
their IACOMMON accounts or printed on the VAX printer in ITD. Approving
authority: Information Technology Division. Loan Management System (LMS) The
Loan Management System allows on-line updating and reporting of student loan
data so that the institution remains in compliance with federal regulations.
Functionality provided includes: federal regulations compliance; loan
administration; billing; due diligence; and collections. Approving authority:
Student Loan Analyst. Recap Timekeeping System The Recap Timekeeping System,
written in FOCUS and VAX DCL, allows on-line data entry, maintenance and
reporting capabilities for all departments that previously entered time data
manually on recap time sheets. Each month HRS program EBC314 creates a new Recap
database that departmental timekeepers and the Personnel Office can access. Each
department can only access that department's data. Approving authority:
Personnel Office. Resource25/Schedule25/WebViewer Event Scheduling Software
Schedule25 is a batch room scheduling system used to place academic courses into
rooms to utilize campus space efficiently. The information is loaded into the
SIS course records.
Resource25 is a multi-user client/server scheduling
system that provides a unified environment for scheduling and managing classes,
special events, rooms, equipment, and event services. Resource 25 WebViewer
provides an interface to the Resource25 database that posts academic and special
events on the web. Student Information System (SIS) The Student Information
System provides support for admissions, business, financial aid, and records
needs within the University. Functionality provided includes: maintaining
applicant data, high school history, test score data, transfer work, and degree
data; generating bills and refunds; maintaining charge and payment detail
records; calculating tuition and fees; processing and packaging valid financial
aid award data; processing registration activity; maintaining student course
work; and generating transcripts. Approving authority: Associate Director of
Records. Subsidiary System The Subsidiary System is a standalone system which
provides reporting and online subsidiary detail of selected combined FRS and SIS
transactions. Z Support Software (ZSS) Z Support Software (ZSS) is a platform on
which the MTSU Online Applications reside and it provides Data Collect and
Online Reference Capabilities. It is also a set of tools for technical
maintenance and management of the applications. ZSS tools include Screen
Builder, for developing screens and the procedures that control them, and
facilities for backup and recovery, defining security, maintaining the Data Base
Definition (DBD) and maintaining the Online Reference System. " |
