Inventory Stock Status by Item report: options and information

The Inventory Stock Status by Item report contains information about the stocking status of items in your inventory. The report groups items by Item Group. Default information in this report includes preferred vendors, reorder points, quantities on hand, quantities on purchase orders and sales orders, next delivery dates, and next shipment dates. If you entered a quantity in the Reorder point field on an Item record, the report will show that the amount on-hand has fallen below the reorder point with a check mark in the Place Order column.The report displays the current date, but you can modify the date by using the Date toolbar or the Select Filter Options dialog box.

In this report, you can double-click a row or line item to open another report that shows the transaction detail. You can then double-click a line in the newly opened report to open the original transaction form.

Note When you hover the pointer over report information that contains detail, the pointer changes to a pointing finger. The pointing finger indicates that you can double-click the information to obtain further details about it.


After you have opened this report, you can:

  1. Sort by report groups.
  2. Use the Modify Report pane to:
    • Filter the report to focus on particular areas.
    • Use the Columns option to view additional information.
    • Modify the appearance of the report
  3. Save a modified report for future use.
  4. Export the information to Microsoft Office Excel.

Sort by report groups

You can sort the groups within the report in addition to sorting the rows within the groups. Click the Sort Report Groups by arrow on the toolbar and select an option. Click the sorting arrows to switch between ascending and descending order.

Modify a report

You can change the appearance of the report or modify it in the following ways:

  • Modify Report pane Click Modify Report the Modify Report pane. In the Modify Report pane, you can open the Select Filter Options dialog box, add or remove columns, or change the appearance of the report by using the Fonts and Number options or the Header and Footer options.

    Filters

    Click View Filter Options to open the Select Filter Options dialog box.

    • Select Filter Options You can view your report data by date, active status, item group, or item name and type. Select a filter from the Select a filter box to display the options in the Filter options box.

      Note  You can also open the Select Filter Options dialog box from the toolbar.

      For assistance with selecting filter options, click Help in the Select Filter Options dialog box.

    Columns

    Click Columns to display a list of available column headings for this report. The column headings that you select display the report information in different ways. By selecting different headings, you can focus on, detect, and clarify business trends. When you first open this list, only default columns are selected. You can add columns or remove columns to modify the report. If a column heading appears dimmed, it is a required column and cannot be changed.

    Fonts and Numbers

    Click Fonts and Numbers to open the option that adjusts and controls the appearance of the body of the report. Click  to display the various options for a specific row. Click an option to open the related dialog box, and then make your selections. For example, you can choose the way negative numbers are presented by click Negative Numbers under Report Data.

    Header and Footer

    Click Header and Footer to open the option that adjusts the appearance of headers and footers in the report. Click  to display the various options for a specific header or footer. Click an option to open the related dialog box, and then make your selections. For example, you can mark a report confidential by clicking Footer Options under Footer options, clicking Show Footer, and then entering Confidential in the Footer field.

  • Sort orderClick the heading of a report column to switch between ascending and descending order.
  • Resize column Click a column divider, and drag it to a new position.
  • Column order Select a column title, and drag it to a new position.

Save a report

After you have modified it, you can save the report in Saved Reports. The list of available saved reports is in the Reports pane on the Reports home page. If you want to revise a saved report, open it from the Saved Reports list, make the changes, and then save it again in Saved Reports.

Print a report

After you have opened a report, you can print it.

Export a report

If you have Microsoft Excel 2003 installed, you can export the report to a Microsoft Excel spreadsheet and then create additional graphs and customizations.
